- Assist with website management and desktop publishing - Responsible for maintaining calendars for union officers and union hall activities - Multiple account reconciliation and manage various excel spreadsheets and Financial Software - Generate and send out year-end 1099 forms for all applicable members and vendors - Monthly reconciliation and itemization of dues payments for all union locations - Manage the rural address sign program - Manage union relief payments - Light cleaning of office and union hall - Coordinate facility rentals and manage rental agreements and collections - Maintain office and union hall supply inventory and accounting - Oversee building maintenance programs, work with vendors for service and repair - Run errands to post office, bank and local stores - Maintain inventory, accounting and shipping for union merchandise sales - Build and maintain professional relationships with other IAFF Locals, labor unions, affiliates and vendors - Oversee contracts with vendors to provide services - Maintain files, records and data management - Assist with development of policies, procedures, methods and standards.
- Fill out insurance and governmental forms - Prepare and deliver reports - Monitor compliance with government regulations (OSHA, etc) - Manage payroll reporting to PAYCHEX - Maintain petty cash - Other duties as assigned Required for position:
- Bachelor's Degree or equivalent preferred.
- Minimum 2 years of office/administrative/accounting experience preferred.
- Ability to relate well with people by phone and in person.
- Proficient in Microsoft Office:
Word, Excel, PowerPoint and Outlook.
- Ability to provide superior customer service - Ability to work independently.
- Must be organized, detail oriented, have initiative and be able to prioritize multiple tasks.
- Ability to handle confidential information in a discrete manner.
- Experience in Accounting, Event Planning, Social Media, and Website Content.
